We're seeking a contract Recruiting Coordinator to support the rapid growth of our technical land mission-critical teams. In this role, you will work directly with our Recruiter and recruiting team to coordinate complex interview process, deliver a high quality candidate experience, and keep hiring moving efficiently. This is a hand-on role ideal for someone who communicates clearly and enjoys supporting high-bar technical hiring.

What You’ll Do

  • Coordinate end-to-end interview scheduling for highly technical roles across flight software, hardware, RF, GNSS, systems, and operations teams

  • Own complex interview loops involving cross-functional stakeholders, executives, and external partners often across multiple time zones

  • Work directly with Xona’s Recruiter and hiring teams to keep hiring processes moving quickly and efficiently

  • Serve as point of contact for candidates, delivering a professional, responsive, and high-bar candidate experience aligned with Xona’s mission

  • Maintain accurate and up-to-date candidate records, interview feedback, and hiring status in Ashby, our in house applicant tracking system (ATS)

  • Proactively troubleshoot scheduling conflicts, last-minute changes, and process gaps in a fast-moving aerospace startup environment

  • Contribute to recruiting operations improvements as Xona continues to scale its team and hiring processes

Required Qualifications

  • 2+ years of experience as a Recruiting Coordinator, Talent Coordinator, or HR Coordinator in a fast-paced, in-house environment

  • Proven experience scheduling complex interview loops for technical roles

  • Hands-on experience with our ATS, Ashby (Greenhouse, Lever, or similar acceptable)

  • Strong organizational skills and attention to detail, with the ability to manage multiple roles and priorities simultaneously

  • Clear, concise written and verbal communication skills

  • Ability to operate independently, anticipate needs, and adapt quickly in a startup setting

  • Comfort working in a contract role supporting evolving and sometimes ambiguous hiring needs

Desired Qualifications

  • Familiarity with technical hiring for software, embedded systems, hardware, or RF roles

  • Prior experience working at an early-stage or high-growth startup

  • Exposure to export control–sensitive hiring environments (ITAR/EAR awareness is a plus)

  • Strong recruiting operations mindset with an interest in process improvement and scaling systems

  • Passion for space, satellite technology, or Xona’s mission to build next-generation positioning, navigation, and timing (PNT) infrastructure

  • Experience supporting recruiting teams in aerospace, space, defense, or other deep-tech industries

For U.S. Roles: To comply with U.S. Government space technology export regulations, applicant must be a U.S. citizen, lawful permanent resident of the United States (i.e. Green Card holder), or other protected individual as defined by 8 U.S.C. 1324b(a)(3).

For U.K. Roles: To comply with U.K. regulations, this role requires Baseline Personnel Security Standard (BPSS) checks, and successful candidates must be eligible to obtain UK Security Clearance (SC).

For Canada Roles: Successful candidates must obtain and hold a security clearance at the reliability status level, and pass security assessment for the Canadian Controlled Goods Program (CGP) and ITAR.
