About the Role

The Marketing Project Operations Specialist serves as the technical architect and functional lead of our marketing execution ecosystem. Reporting into the Office of the PMO, you are the engine behind our operational efficiency, ensuring that high-level strategies are translated into seamless, automated, and scalable workflows within our core technology stack (e.g., Wrike, Jira).

Your mission is to eliminate "work about work." You don’t just manage tasks; you build the intelligent systems that move them for us. By designing sophisticated automated workflows, deploying AI agents to handle routine administrative overhead, and maintaining rigorous data hygiene, you ensure our reporting is flawless and our team velocity is unmatched.

Key Responsibilities

1. Platform Architecture & Administration
  • Ensure that our tools are not just repositories for tasks, but high-performance engines for enterprise data

  • Serve as the platform steward, managing permission hierarchies, folder taxonomies, and custom metadata to maintain a "Single Source of Truth."

  • Manage technical debt, consolidating fragmented workflows and pruning legacy metadata to keep the platform performant as the organization scales.

  • Partner with cross-functional teams to build and refine workflows, project lifecycles and more in compliance with the Office of the PMO

2. AI & Workflow Automation
  • Develop and deploy AI agents and automation rules within the PM tool to streamline status updates, task assignments, and content routing.

  • Build and maintain low-code/no-code integrations (via Zapier, Workato, or native APIs) between marketing tools (e.g., CRM, DAM, and Communication tools).

  • Continuously audit workflows to identify bottlenecks and "dead zones" in the process.

3. Data Integrity & Reporting
  • Support overall Wrike administrative tasks

  • Translate project data into clear, automated dashboards that track team velocity, resource capacity, project health, and visual progress for leadership

  • Build and manage automated dashboards that track team velocity, resource capacity, and project health.

  • Provide the Office of the PMO with weekly "Health of the Stack" insights to support executive decision-making.

  • Continuously evolve and improve campaign planning, timelines, visualization tools, and workflow processes.

4. Enablement & Governance
  • Act as the internal "help desk" for marketing team members troubleshooting tool issues.

  • Draft and maintain "How-To" documentation and SOPs for the marketing tech stack.

  • Onboard new hires to the marketing workflow, project management toolset and ensuring 100% adoption of PMO standards.

Qualifications & Skills

  • 3-5 years in Marketing Operations, Project Management, or Business Systems. You have a proven track record of managing workflows in a complex, fast-paced enterprise environment.

  • Proficiency in enterprise work management tools (Wrike, Jira, or similar). You should be comfortable with advanced features like custom item types, request forms, and blueprint automation.

  • Demonstrated ability to translate messy, manual processes into clean, automated digital workflows. You understand the logic of dependencies, triggers, and conditional routing.

  • Practical experience (or a high degree of aptitude) in leveraging AI agents and LLMs to automate administrative tasks, such as auto-summarizing project briefs, optimizing task assignments and building workflows.

  • Ability to work independently on complex problems, providing creative solutions with minimal supervision.

  • Familiarity with low-code automation platforms (e.g., Zapier, Workato, or Make) to connect the PM stack with other tools (CRM, Slack, DAM).

  • Excellent written and verbal communication skills, with a proven ability to convey clear information to technical and non-technical stakeholders.

  • A proactive, problem-solving mindset with a willingness to quickly learn new processes and navigate a highly matrixed, global business environment.

  • High integrity and humility—a willingness to proactively ask questions, seek clarification, and maintain accountability.

  • Proven experience and familiarity with a variety of marketing processes and workflows.
