Location: Somerset West, South Africa
Job Purpose:
Design, develop, and maintain integrated automation solutions, spanning software development, workflow engineering, system integration, and project reporting, to enhance project delivery, operational efficiency, and data accuracy across the organisation.
Responsibilities:
Stakeholder & Technical Support
- Engage with project managers, finance, HR, and operations to understand automation needs and translate them into technical solutions.
- Provide training, guidance, and troubleshooting support on project automation tools and systems.
- Document solutions, maintain knowledge repositories, and support continuous improvement initiatives.
Power Automate Development & Management
- Design, build, and maintain Power Automate flows to streamline project processes and reduce manual effort.
- Troubleshoot, optimize, and scale existing automations to improve reliability and performance.
- Implement error‑handling, monitoring, and documentation for all automation solutions.
Software Development
- Develop custom scripts, integrations, and applications using appropriate programming languages/environments (e.g., Power Automate, Power Apps, Power BI, VBA, Python).
- Maintain version control and adhere to software development best practices, including secure coding, testing, and documentation.
- Support continuous improvement by evaluating new tools and proposing technical enhancements.
Project Dashboard Automation
- Build automated project dashboards using tools such as Power BI, Excel Online, or embedded solutions.
- Integrate dashboards with real-time data sources for accurate visibility into project progress, performance, and risks.
- Develop visualizations that support executive reporting and operational decision‑making.
Project Workflow Creation, Automation & Management
- Design and implement end-to-end project workflows, ensuring consistency across teams and alignment with governance standards.
- Automate workflow steps (approvals, notifications, escalations, task generation) across project lifecycle stages.
- Maintain workflow documentation and manage lifecycle updates as business needs evolve.
Project System / Database Administration (IT Side)
- Administer project management systems and databases, including user access, configuration, data structures, and integrations.
- Ensure data integrity, security, backups, and compliance with IT policies.
- Collaborate with IT teams to manage system updates, performance optimisation, and technical issue resolution.
Project ↔ Planner Automation
- Develop and manage automated connections between Project (desktop/online) and Microsoft Planner.
- Create synchronization frameworks for tasks, timelines, statuses, and resource allocations.
- Ensure consistent and accurate data flow between tools used by project teams.
Reporting Systems Development
- Build, automate, and maintain project reporting systems serving operational, financial, and strategic reporting needs.
- Implement automated extraction, transformation, and loading (ETL) processes where needed.
- Ensure reporting outputs are accurate, timely, and aligned to stakeholder requirements.
Systems Integration (Acumatica, Payspace, and Others)
- Develop and maintain secure integrations between project systems and core company platforms such as Acumatica and Payspace.
- Create API-based or middleware solutions to ensure seamless data flow across departments.
- Manage integration lifecycle including testing, deployment, and ongoing monitoring.
Email Automation
- Design and implement automated email alerts, notifications, summaries, and escalation workflows for project-related activities.
- Ensure email automation complies with communication guidelines and reduces administrative overhead.
- Monitor automation performance to minimize errors and ensure timely communications.
Required Qualifications:
Bachelor's Degree in Information Systems, Computer Science, Engineering, or related field
Required Experience:
- 3+ years’ experience in automation development, business systems, or software development.
- Hands-on experience building workflow automations using tools such as Microsoft Power Automate, Zapier, Nintex, or similar platforms.
- Experience developing scripts, integrations, or applications using languages such as Python, C#, JavaScript, or equivalent.
- Experience working with or supporting tools like Microsoft Project, Planner, Smartsheet, or other project management platforms.
- Background in developing automated dashboards and reports using Power BI, Excel, or similar analytics tools.
- Practical experience integrating business systems using APIs, web services, or middleware—ideally including ERP and HRIS platforms (e.g., Acumatica, Payspace).
- Exposure to administering and maintaining databases (e.g., SQL Server, SharePoint Lists, Dataverse) with a focus on data integrity and optimisation.
- Experience designing, configuring, and managing end-to-end business or project workflows.
- Experience creating automated communications, alerts, approval flows, or escalation mechanisms.
- Demonstrated experience supporting end-users, gathering requirements, and translating business needs into technical solutions.
- Participation in technology-driven improvement initiatives, particularly within project- or operations-focused environments.
- Proficiency in Microsoft Power Automate, Power Apps, Power BI, or similar tools.
- Experience integrating systems through APIs, web services, or SDKs.
- Recommendations:
- Experience with Acumatica, Payspace, or similar ERP/HRIS platforms.
- Knowledge of project management tools (Microsoft Project, Planner, Asana, Jira, etc.).
- Database experience (SQL Server, SharePoint Lists, Dataverse, etc.).
- Familiarity with DevOps, version control (Git), or cloud platforms (Azure)
