Job Purpose:
Deliver efficient, accurate, and compliant administrative support across the full spectrum of people processes, including employee data management, payroll coordination, and internal service delivery, to ensure a seamless and positive experience for all employees while supporting operational excellence and regulatory compliance.
What You Will Do
- Maintain accurate and up-to-date employee records in talent operations systems.
- Ensure compliance with data protection regulations and internal policies.
- Support audits and reporting by providing timely and accurate talent operations data.
- Coordinate onboarding processes, including documentation, system access, and orientation scheduling.
- Facilitate smooth offboarding, ensuring exit interviews, final documentation, and system deactivation.
- Administer internal talent operations processes such as leave management, probation reviews, and contract renewals.
- Support the implementation and maintenance of talent operations policies and procedures.
- Track and follow up on key talent operations milestones (e.g., performance reviews, training completions).
- Collaborate with the Finance team to ensure accurate and timely salary processing.
- Maintain payroll-related data integrity within talent systems and ensure alignment with employee records.
- Support payroll audits and compliance with tax, labour, and regulatory requirements.
- Address employee payroll queries and liaise with relevant departments to resolve them.
- Act as a point of contact for employee queries related to people policies, benefits, and procedures.
- Assist in drafting and distributing internal communications.
- Promote awareness of talent management initiatives and resources available to employees.
- Ensure internal people practices align with company policies and legal requirements.
- Monitor adherence to internal controls and escalate non-compliance where necessary.
- Support the use and maintenance of PaySpace and other internal platforms.
- Troubleshoot fundamental system issues and liaise with IT or vendors for resolution.
- Generate regular internal people practices reports (e.g., headcount, turnover, leave balances).
- Provide insights to support workforce planning and internal decision-making.
- Collaborate with internal departments (e.g., Finance, IT) to ensure seamless people practice operations.
- Support internal people practice projects and initiatives as needed.
What You Will Bring
Qualification:
- National Diploma in HR Management, Industrial Psychology, Business Admin, or related field
- 2–3 years of experience in a Talent Operations administrative or support role.
Required Experience:
- Exposure to the full employee lifecycle (onboarding to offboarding).
- Experience working with talent operations policies, procedures, and compliance.
- Hands-on experience with HRIS platforms (e.g., Sage, PaySpace, BambooHR).
- Proficiency in MS Office, especially Excel for reporting and data management.
- Experience supporting payroll processes, including data preparation and validation.
- Familiarity with payroll systems and integration with HR platforms (e.g., PaySpace).
- Understand payroll compliance requirements, including tax and labour regulations.
- Ability to respond to payroll-related employee queries and support payroll audits.
- Proven ability to manage employee records, contracts, and documentation.
- Experience coordinating internal talent operations processes such as leave, performance reviews, and training logistics.
- Experience responding to employee queries and supporting internal teams.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Familiarity with labour laws and internal compliance requirements.
- Experience in preparing talent operations reports and supporting audits or internal reviews.
