The Workplace Experience Coordinator is an energetic professional with a strong work ethic who can handle multiple projects with accuracy, speed, and high attention to detail. This role is a great fit if you are comfortable coordinating and building rapport with people internal and external to the organization. As the Workplace Experience Coordinator, you will help ensure our office operations run smoothly, and efficiently, and are successful in supporting other business activities. You want to enrich the workplace by creating a work environment that is clean, well-maintained, and one that people can be proud of.

What you will do:

Reception

  • Answer incoming calls, maintain phone lists, and respond to employee requests.
  • Greet visitors, accept couriers on-site, and send out shipments.
  • Coordinate all incoming and outgoing couriers (FedEx, UPS, Canada Post, Novex) and service providers including cleaners and waste removal.
  • Open and distribute mail or redirect emails to the appropriate recipients.

Business Support

  • Provide support for on-and-off-site team meetings and company events such as arranging catering, room booking, and setup.
  • Provide ad hoc administrative support to the accounting team as required.

Workplace Experience/ IT Support

  • Be the onsite liaison for security and building property managers (as required) to manage visits from onsite service providers.
  • Follow up on building or office related issues such as HVAC, electrical, plumbing, or office equipment problems including vendor research as directed.
  • Ensure building security is maintained by ensuring building user access is up to date.
  • Be a second point of contact for security and after-hours calls and the first point of contact when covering for the Workplace Experience Manager.
  • Assist Workplace Experience Manager in coordinating team meetings and company events, both on and off-site such as arranging catering, room bookings, invitations, and setup. Ensure office space and kitchen & meeting rooms are consistently clean and organized.
  • Purchase and replenish office equipment, office supplies, food/snacks, and beverages as needed from vendors.
  • Provide front-line basic tech support to staff (remote or in person) including user support for hardware, Google Meets, slack, and general computer issues.
  • Ensure workstations and meeting room set-ups are maintained with the appropriate technical equipment.
