ADMINISTRATION

As an Administrative Assistant at Wallops, you will play a vital role in ensuring smooth day-to-day operations, supporting employee engagement, and delivering an exceptional experience for visitors and staff alike.

The Administrative Assistant & Receptionist is integral to the smooth running of Rocket Lab’s Assembly and Integration Complex (AIC) at Wallops Island. This role is responsible for delivering exceptional visitor experience, managing day-to-day consumables, and supporting Wallops-based employee events and internal communications. The position serves as a central point of contact for employees, contractors, and visitors, ensuring seamless operations and a polished front-of-house experience. Additionally, the role provides administrative support to the Site Operations Manager and Senior Leadership Team for project-based work and event planning. The Administrative Assistant & Receptionist is also responsible for coordinating badging paperwork and housing arrangements for Rocket Lab employees traveling to Wallops.

WHAT YOU’LL GET TO DO:

  • Develop and maintain key relationships with visitors and contractors to Rocket Lab, ensuring inquiries are handled professionally and delivering a memorable visitor experience while upholding security processes

  • Serve as the first point of contact for customers to Wallops, delivering a high level of customer service and driving the Rocket Lab experience.

  • Uphold company security policies, ensuring all visitors and employees adhere to security processes

  • Maintain a polished and professional front-of-house area

  • Support inwards and outwards goods when necessary

  • Respond to phone and email-based queries in a timely and professional manner

  • Ensure adequate stock levels and proper storage of supplies at AIC, including but not limited to: hygiene products, catering supplies (e.g., snacks, milk, coffee), office supplies as needed

  • Assist with travel arrangements for employees and occasionally VIPs traveling domestically and internationally

  • Coordinate NASA WFF badging for employees and visitors

  • Manage catering administration for employee meals

  • Retrieve mail and distribute it to the appropriate staff

  • Manage and own the conference room calendar to maintain bookings

  • Provide support for project-related work as needed

YOU’LL BRING THESE QUALIFICATIONS AS AN ADMINISTRATIVE ASSISTANT:

  • High School Diploma or GED.
  • 2+ years of administrative experience or office support role.
  • Proficiency in Microsoft Office products.

THESE QUALIFICATIONS WOULD BE NICE TO HAVE:

  • Associates degree or higher in Business Administration or a related field.
  • Previous reception or office administration experience.
  • Familiarity with facilities management or event planning.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communications skills.
  • Ability to work independently and collaboratively in a dynamic environment.

ADDITIONAL REQUIREMENTS:

  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to focus.
  • Regularly required to sit, use hands and fingers, operate computer keyboard and controls, and communicate verbally and in writing.
  • Must be physically able to commute to buildings.
  • Occasional exposure to dust, fumes and moderate levels of noise.
  • Ability to travel occasionally to work at other facilities or to attend Company-sponsored or industry events.
