Individuals in this position are expected to perform tasks as under the guidance and general supervision of the department director or their delegated engineers. 1. Essential Functions (Duties and Responsibilities)

Main Function Responsibilities

A) Responsible for the accurate and timely release of various documents including departmental correspondence and presentations.
B) Responsible for accurately filing reports and generating quarterly reports for regulatory reporting.
C) Perform confidential administrative functions where errors could have an impact on costs, such as typing, proofing, and assembling reports or proposals for customers or outside agencies and taking, and distributing minutes of important meetings.
D) Process departmental incoming/outgoing mail distribution.
E) Prepare purchase requisitions for office supplies and equipment.
F) Prepare purchase requisitions for project related testing (parts and services) and coordinate with Purchasing and accounting departments.
G) Manage databases as required.
H) Maintain departmental records and prepares special and recurring reports, following general directions.
I) Prepare for Customer or internal meetings when required (room reservation, catering, room preparation, clean up leftover food after meeting, etc.).
J) Provide assistance as needed in the following areas: Meetings (internal and external customers), Reporting, Accounting and Customer Communication).
K) Performs other duties as assigned.

A. Education & Qualification:
• High school diploma or equivalent is required.
B. Work Experience - Technical knowledge:
• Minimum three (3) years of experience in an administrative assistant role or related position is required.
C. Professional Skills:
• Must be proficient in the operation of office computers.
• Must have working knowledge of Microsoft Office software products (MS Word, Excel, PowerPoint, Project, etc.).
• Must be able to interface with all departments within the company, as well as external customers.
• Must be detailed oriented, with proficiency in grammar and general office etiquette.
D. Behavioral Skills:
• Excellent organizational skills; must have ability to efficiently perform multiple tasks simultaneously and prioritize those tasks as required.
• Must be able to interface with all departments within the company, as well as external customers.

E. Desirable Aspects:
• MS Excel proficiency
• MS word Proficiency
• A desirable typing speed of 40-60 words per minute
• Ability to do light physical work. Moving Boxes, organizing supplies..etc
2. General Work Conditions (Physical Demands)
Physical Demands: This position requires extended periods of sitting while working with computers and viewing computer monitors and other office equipment. Finger dexterity needed in using misc. office equipment such as telephone, computer and copy machine, etc. Bending, stooping, reaching, and lifting up to approximately twenty pounds are required during tasks related to the job
