As we continue to expand our global presence and advance our satellite 5G network, we are looking for a highly organized, proactive, and trusted Executive Assistant to support a senior executive and help ensure the smooth execution of daily operations and strategic activities.
This is a high-impact role requiring strong organizational skills, discretion, and the ability to manage complex schedules, travel logistics, and high-level interactions with partners, investors, and stakeholders.
Key Responsibilities
Calendar and Schedule Management
- Manage and optimize the executive’s complex calendar, ensuring efficient prioritization of meetings and commitments
- Coordinate internal and external meetings, calls, and appointments across multiple time zones
- Act as a gatekeeper for the executive’s time, prioritizing requests and ensuring adequate preparation time for key engagements
Communication Management
- Draft, proofread, and format professional correspondence, reports, and presentations
- Manage incoming communications and ensure timely responses where appropriate
- Serve as a key liaison between the executive and internal teams, partners, investors, and external stakeholders
Travel Planning and Coordination
- Coordinate complex international travel including flights, accommodation, transportation, visas, and itineraries
- Prepare detailed travel schedules and briefing materials for meetings and events
- Manage last-minute changes and travel contingencies efficiently
- Attend conferences, events, or business trips when required to ensure smooth execution of logistics
Meeting Preparation and Follow-Up
- Prepare agendas, presentations, and briefing materials for meetings
- Record key decisions and action items during meetings
- Track deliverables and follow up with relevant stakeholders to ensure progress
Administrative and Operational Support
- Maintain organized digital and physical documentation
- Support preparation and submission of institutional documentation and administrative paperwork
- Assist with selected personal logistics related to the executive’s schedule and travel coordination
Event and Conference Coordination
- Coordinate participation in international conferences, industry events, and speaking engagements
- Ensure presentations, materials, and logistical arrangements are prepared in advance
- Support the executive during events to ensure schedules and engagements run smoothly
Project and Research Support
- Assist with research, reports, and preparation of briefing documents
- Support special projects and initiatives led by the executive
- Format and prepare presentations using PowerPoint and Canva
Relationship Management
- Build and maintain professional relationships with internal teams, partners, and external stakeholders
- Ensure a professional and welcoming experience for visitors, partners, and investors meeting with the executive
Requirements
- Bachelor’s degree or equivalent experience
- 3+ years of experience supporting senior executives in a similar role
- Exceptional organizational and time management skills
- Strong written and verbal communication skills
- Ability to anticipate needs and act proactively in a fast-paced environment
- High level of discretion and professionalism when handling confidential information
- Strong problem-solving abilities and attention to detail
- Experience managing complex international travel arrangements
- Proficiency with Microsoft Office and/or Google Workspace
- Familiarity with calendar and travel management tools (Outlook, Google Calendar, Concur, etc.)
- Ability to multitask and prioritize under pressure
- Flexibility to occasionally travel and support events outside standard office hours
- Fluency in English and French and/or German and/or Luxembourgish
- European citizenship or valid work authorization for Luxembourg
- Valid driving license (required).
