About This Role:

Hippo is seeking a highly experienced Executive Assistant to support a subset of our executive leadership team while serving as the primary administrative partner for the Board of Directors. This role is critical to the operational rhythm of the company and requires exceptional organizational skill, sound judgment, and the ability to anticipate needs before they arise. You will manage complex calendars, coordinate domestic and international travel, and ensure seamless execution of executive and Board meetings.

Success in this role requires comfort operating in a fast-paced, dynamic environment, balancing multiple priorities, and exercising discretion while handling highly confidential information. You bring a strong bias for action, curiosity about the business, and the ability to communicate effectively across all levels of the organization. This role is ideal for someone who views this as a long-term role, thrives in ambiguity, enjoys enabling leaders to operate at their best, and takes pride in running complex logistics with precision and care.

What You’ll Do:

Executive Support:

  • Provide high-level administrative support to multiple members of the executive leadership team, ensuring alignment with organizational priorities
  • Proactively manage complex, high-volume calendars with strong judgment and ownership, independently prioritizing, optimizing time, and moving work forward without constant check-ins
  • Anticipate conflicts and shifting priorities; recommend and implement adjustments as needed
  • Coordinate domestic and international travel in compliance with company policies, ensuring efficient use of time and resources
  • Track key deliverables, action items, and follow-ups arising from leadership meetings and ensure timely completion

Board of Directors & Investor Support:

  • Serve as the primary point of contact for Board of Directors administration
  • Polished, executive presence: Confident, professional, and poised in all Board of Directors communications
  • Plan, coordinate, and execute all Board and committee meetings, including agendas, materials, logistics, travel, and on-site support
  • Manage the annual Board calendar and ensure alignment with executive and company priorities
  • Partner closely with Legal, Finance, and executive leadership to ensure accuracy, timeliness, and confidentiality of Board materials
  • Support investor meetings and events as needed
  • Review and copyedit executive communications, presentations, and business documents with a high degree of accuracy

Must Haves:

  • Bachelor’s degree or equivalent practical experience
  • 5+ years of experience supporting senior executives in a fast-paced environment
  • Experience supporting multiple executives simultaneously
  • Direct experience working with the Board of Directors of a publicly traded company
  • Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint)
  • Team-oriented partner: Collaborates seamlessly with other assistants daily to keep priorities aligned and work moving
  • Strong experience coordinating complex domestic and international travel
  • Demonstrated ability to handle confidential information with integrity, discretion, and sound judgment
  • Proven ability to manage multiple priorities, meet deadlines, and adapt quickly to change
  • Exceptional written, verbal, and interpersonal communication skills
  • Experience planning and managing meetings, off-sites, and events
  • Strong attention to detail with a proactive approach to anticipating executive needs and mitigating issues
