Job Summary:
The Human Resource Administrator provides essential administrative support to the HR department while maintaining day-to-day HR operations. This role serves as a key backup for payroll processing and stock administration functions, ensuring continuity of critical compensation and equity programs. The ideal candidate is detail-oriented, maintains strict confidentiality, and can effectively manage multiple priorities in a fast-paced environment.
Essential Duties and Responsibilities:
HR Administrator (Primary Focus)
- Maintain employee records and HR information systems (HRIS), ensuring accuracy and compliance with recordkeeping requirements
- Process employee status changes including new hires, promotions, transfers, and terminations
- Coordinate onboarding activities including new hire paperwork, system access, and orientation scheduling
- Administer employee benefits enrollment, changes, and communications
- Respond to employee inquiries regarding HR policies, procedures, and programs
- Prepare HR-related correspondence, reports, and presentations
- Maintain HR filing systems and ensure proper document retention
- Assist with employment verification requests and unemployment claims
- Support recruitment efforts including job postings, interview scheduling, and candidate communications
- Coordinate HR projects and initiatives as assigned
Payroll Backup Responsibilities
- Process semi-monthly/bi-weekly payroll in the absence of the primary payroll administrator
- Review and verify time and attendance records for accuracy
- Process payroll adjustments, bonuses, and off-cycle payments as needed
- Respond to employee payroll inquiries and resolve discrepancies
- Maintain knowledge of payroll tax requirements and compliance obligations
- Generate payroll reports for management and accounting
- Coordinate with benefits providers regarding payroll deductions
Stock Administration Backup Responsibilities
- Assist with equity grant administration and recordkeeping in the stock plan system
- Process stock option exercises, RSU releases, and ESPP transactions
- Respond to employee inquiries regarding stock plan participation and equity compensation
- Maintain accurate equity records and prepare stock-related reports
- Support annual stock plan activities including grant cycles and enrollment periods
- Ensure compliance with securities regulations and internal stock plan policies
Skills and Competencies:
- Excellent verbal and written communication skills, including the ability to interact clearly and concisely with all departments and levels of management
- Excellent organizational skills with attention-to-detail
- Ability to meet multiple deadlines in a fast-paced environment
- Ability to effectively manage time and prioritize tasks
- Ability to act with integrity, professionalism, and confidentiality
- Strong proficiency with HRIS systems, payroll software, and Microsoft Office
Education, Experience, and Licenses/Certifications:
- Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field or equivalent work experience
- 2 to 4 years of HR administrative experience
- Experience with payroll processing and/or stock administration preferred
Physical Requirements:
- Willingness and ability to travel as needed
- Willingness and ability to work after regularly scheduled hours as needed
- Ability to sit at a desk for prolonged periods working on a computer (4 to 8 hours)
- Ability to operate the equipment used for the job
- Ability to lift 15 pounds at times
