We are seeking a detail-oriented and proactive Legal Operations Specialist to join our legal team, with a focus on group company secretarial responsibilities. This role will support the management and compliance of all legal entities within the organization, ensuring filings are up to date, records are meticulously maintained, and business needs are met efficiently. The successful candidate will also oversee contract management using SpotDraft and assist with team spend management, contributing to the overall operational success of the legal department.

Key Responsibilities:

Company Secretarial Duties:

  • Maintain statutory records and ensure all filings (e.g., annual returns, board resolutions, and changes in directors/officers) are completed accurately and submitted on time across all group legal entities + accurate records kept internally.
  • Prepare and organize documentation for board meetings, shareholder meetings, and other governance requirements including liaising with signatories and law firms around the world
  • Monitor compliance with local regulatory requirements for each entity and coordinate with external advisors as needed.

Business Support:

  • Provide ad hoc legal and administrative support to the business, including drafting correspondence, reviewing basic agreements, and assisting with internal queries.
  • Act as a point of contact for entity-related requests from internal stakeholders.


Record/House Keeping:

  • Maintain accurate and up-to-date records of corporate documents, certificates, and licenses in both physical and digital formats.
  • Ensure proper version control and accessibility of key legal documents such as templates and policies.
  • Keep the Legal & Compliance internal wiki site up to date + the Group Policy Portal

Contract Management:

  • Administer the company CLM (SpotDraft), including uploading contracts, managing workflows, and ensuring data integrity.
  • Generate reports on contract status, renewals, and key metrics as requested by the legal team or management.
  • Support contract lifecycle management, from drafting to execution and archiving including licenses, permits, contracts


Spend Management:

    • Assist in tracking and reporting the legal team’s budget and expenditures.
    • Coordinate with finance and procurement teams to monitor legal spend, including vendor invoices and external counsel fees.
    • Identify opportunities for cost efficiencies and process improvements.

You'll fit great with the following qualifications:

  • 3-5 years of experience in a legal operations role supporting a scaling team
  • Experience with company secretarial administration in a number of countries + a network of local providers
  • Ability to analyse data to report on key insights
  • Familiarity with corporate governance and statutory compliance requirements in a multi-national.
  • Proficiency in contract management tools (SpotDraft and Docusign experience preferred), G-Suite, Microsoft Office Suite.
  • Strong organizational skills with a keen eye for detail and accuracy.
  • Ability to prioritize tasks, manage deadlines, and handle confidential information with discretion.
  • Excellent communication skills and a collaborative team-player mindset.
  • Fluent in Polish and English + one additional European language is a plus

Preferred:

  • Experience working at a law firm or in the legal department of a multinational company
  • Experience working with multi-jurisdictional legal entities.
  • Knowledge of budgeting or financial reporting processes.
  • Proactive problem-solver with a process-improvement mindset.
