What to Expect
With a strong focus on scheduling and facilitating interviews, the Recruiting Coordinator plays a critical role in ensuring a seamless, high-quality candidate experience. This role operates at the centre of a fast-paced recruiting environment, supporting hiring teams by managing high volumes of interview requests, navigating last-minute changes, and driving coordination excellence.
Beyond scheduling, this role contributes to hiring strategy by supporting hiring ramps, improving recruitment processes, and partnering closely with recruiters, hiring managers, and cross-functional stakeholders. Recruiting Coordinators are key enablers of efficiency, organisation, and adaptability within the hiring ecosystem.
Responsibilities:
Coordinate onsite, virtual, and phone interviews end-to-end, including complex scheduling across stakeholders and managing logistics such as travel and facilities
Act as the primary point of contact for candidates, ensuring a smooth, responsive, and positive candidate experience throughout the hiring process
Collaborate with recruiters and hiring managers to understand role requirements and support effective screening and coordination workflows
Support sourcing efforts through job postings, employee referrals, campus outreach, and use of ATS and social recruiting tools
Screen resumes and applications based on defined criteria, ensuring quality shortlisting aligned with hiring needs
Maintain accurate and up-to-date candidate records in the Applicant Tracking System (ATS), including interview feedback, status updates, and documentation (e.g., NDAs)
Provide administrative and operational support, including background checks, interview materials, offer documentation, and reporting
Track and report key recruiting metrics (e.g., time-to-hire, cost-per-hire) to enable data-driven improvements
Drive process improvements and contribute to recruitment projects and hiring initiatives
Assist with onboarding by coordinating new hire communication, documentation, and Day 1 readiness
Qualifications:
Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent practical experience)
Excellent written and verbal communication skills
High attention to detail and the ability to maintain data accuracy
Proficiency in Microsoft Office tools, especially Outlook, Excel, and scheduling platforms
