Administrative Operations Coordinator — Calibration & Data Management

Help organize the data and processes that keep critical equipment programs running smoothly. This role supports operational teams responsible for equipment calibration and compliance across multiple locations. The Administrative Operations Coordinator plays an important role in maintaining accurate records, organizing documentation, and ensuring calibration data is properly managed across internal systems.

This position is well suited for someone who is highly organized, comfortable working with large datasets, and capable of managing administrative processes with precision. The role requires strong attention to detail, the ability to work independently, and confidence using Microsoft tools to clean, organize, and manage technical data.

Role Overview

The Administrative Operations Coordinator provides structured administrative and data management support to a technical operations team. The position focuses on gathering, verifying, and organizing data while supporting reporting, documentation, and internal coordination efforts.

This individual will work with spreadsheets, internal databases, and document management systems to ensure that calibration records, equipment data, and operational documentation are properly maintained. The role also involves collaborating with multiple teams to ensure information is accurate, accessible, and compliant with operational standards.

Key Responsibilities

Administrative Support & Data Coordination

Provide administrative assistance to operational teams by gathering data, preparing reports, organizing documentation, and responding to routine information requests. Maintain accurate records within internal systems, spreadsheets, and shared platforms.

Calibration Data Migration & System Organization

Upload and structure existing calibration data into the organization’s equipment management system. This includes processing large data sets originating from supplier spreadsheets and preparing them for system integration across multiple operational locations.

Responsibilities include cleaning, formatting, and standardizing incoming data to align with established internal data structures before uploading it into the equipment management platform.

Branch Coordination & Data Completion

Collaborate with operational teams across multiple sites to confirm that all calibration-related data has been uploaded accurately and validated within the system.

Procurement Administration

Support purchasing activities related to calibration services by preparing and submitting purchase requisitions through procurement systems. Maintain accurate documentation and coordinate with internal teams to ensure timely processing.

Calibration Certificate Management

Organize and maintain calibration documentation so that certificates are properly stored, accessible, and traceable for compliance and operational review.

Calibration Schedule Coordination

Track scheduled calibration events for specialized equipment and coordinate with operational teams to ensure required calibrations are completed on time across all relevant sites.

Document Management & Reporting

Maintain organized documentation for operational procedures, reports, and internal policies. Assist with preparing reports and presentations using collected data.

Administrative Operations Support

Assist with routine administrative tasks such as preparing correspondence, scheduling meetings, organizing conference calls, and coordinating with internal and external stakeholders.

Business Process Support

Participate in operational improvement initiatives and departmental projects by assisting with documentation, data analysis, and process support activities.

Required Qualifications

Education

High school diploma or GED required.

Administrative Experience

At least two years of experience in administrative, operations support, or data coordination roles.

Microsoft Excel Proficiency

Intermediate to advanced experience working with Excel including data cleaning, formatting, pivot tables, and formulas such as VLOOKUP or XLOOKUP.

Data Management Skills

Experience working with spreadsheets, document management platforms, and collaborative systems such as SharePoint or similar tools.

Attention to Detail

Strong ability to identify inconsistencies in data and ensure records are accurate and properly formatted.

Communication Skills

Professional written and verbal communication skills with the ability to coordinate with multiple internal teams and external stakeholders.

Process Discipline

Ability to follow established work instructions and administrative procedures accurately.

Independent Work Style

Self-motivated with the ability to manage responsibilities independently while maintaining high productivity and accuracy.

Preferred Attributes

Experience supporting technical teams or equipment-related operations.

Strong organizational skills with the ability to manage multiple tasks simultaneously.

Experience working with procurement systems or supporting purchasing workflows.

Work Environment

This position operates on a standard weekday schedule of Monday through Friday, 8:00 AM – 5:00 PM within Eastern or Central time zones.

The role is structured as a remote position. Candidates must have prior experience working remotely and maintain a dedicated, distraction-free workspace with reliable connectivity.
