The Role
We are looking for a highly organized, proactive, and resourceful Executive Assistant to provide comprehensive support to the CEO, CFO, and wider executive team. They will also provide assistance to the Head of Marcom with event logistics, coordination, and various special projects. This is an exciting opportunity for someone with exceptional communication skills, who thrives in a fast-paced environment, and has a passion for organizational excellence. Fluency in both English and French is needed for this role.
Responsibilities:
- Provide high-level administrative support to the CEO, CFO, and wider executive team, including calendar management, travel coordination, and document preparation.
- Act as a liaison between executives and internal/external stakeholders, managing communications and prioritizing requests.
- Prepare and organize materials for meetings, presentations, and reports.
- Manage and track action items and follow-ups to ensure timely completion.
- Support our Head of Marcom, as needed, with event logistic assistance including logstic coordination for corporate events, conferences, and other special events, including registration, accommodation, travel arrangements, and preparation of materials.
- Collaborate with different teams to provide operational support and ensure smooth project/event execution.
- Handle confidential information with discretion and professionalism.
- Assist with various special projects and strategic initiatives.
- This position may require occasional travel and flexibility with working hours.
Must Have:
- Proficient in English and French (written and spoken).
- Proven experience in an executive assistant or administrative support role, preferably within a fast-paced, start-up environment.
- Exceptional organizational and multitasking skills, with a keen attention to detail.
- Strong verbal and written communication skills, with the ability to liaise with a wide range of stakeholders.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant office software.
- Ability to manage multiple priorities and deadlines with ease.
- Discretion and professionalism in handling sensitive information.
Nice to Have:
- Knowledge of Odoo is a plus
- Experience in event planning and coordination is a plus.
