CMT is looking for a collaborative, customer-committed, and creative Executive Support Specialist who wants to join us in making roads safer by making drivers better!

Responsibilities:

  • Use judgment and discretion to proactively manage the office of the CTO in addition to the wider Senior Management team
    • Responsible for the administrative support of the CTO including inbox management, document preparation, note-taking, meeting materials, and research
    • Proactively managing and overseeing the CTO’s complex calendar including priority setting between meetings and focused work time
    • Calendar and schedule management: Daily organization of the CTO’s schedule including meetings, pacing their work day, balancing appointments or responsibilities within CMT or CMT adjacent (such as lecturing, consulting, board responsibilities, personal appointments etc.)
    • Planning and coordinating all international and domestic travel including meetings, conference calls, bookings, itineraries, car services, hotel or meal reservations, tickets, etc.
    • Resolving time conflicts, booking conference rooms, and organizing materials in preparation for meetings that involve the CTO, or the wider Senior Management team
    • Highly visible role, which serves as the first point of contact for visitors or contacts of the CTO or Senior Management team including customers, board members, vendors, employees and more
    • Manage overall internal travel policy and approval process for CMT team
    • Responsible for all patent administration and management in conjunction with the CMT Leadership Team’s IP responsibilities
    • ​​Develop and maintain strong collaborative relationships within internal and external teams to facilitate requests of the CTO and wider Senior Management team efficiently and effectively
    • Provide a bridge for smooth communication between the CTO internally and externally; demonstrating responsiveness and service excellence to maintain credibility and trust
    • Coordinate with People Operations on ad hoc operational, team, event and communication items such as Stand Up, engagement initiatives and policy/process modifications
    • Complete any additional tasks as they arise

Qualifications:

  • Bachelor’s degree or equivalent years of experience and/or certification in a related field
    7+ years of previous experience in an administrative function
    • 7+ years previous track record of success in supporting C-suite level executives
    • Ability to represent CMT Leadership professionally, maintaining confidentiality and handling sensitive matters with discretion and diplomacy
    • Demonstrates ability to effectively set priorities, make decisions, and work in a fast-paced environment
    • Excellent interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external organizations
    • Experience with coordinating multi-leg international trips and complex calendars
    • Highly professional phone and written communication skills
