About The Role
The Workplace Experience Assistant is responsible for supporting day-to-day office operations and maintaining a cost-effective workplace function, while ensuring the local team enjoys a supportive and productive work environment.
Main Tasks & Responsibilities:
- Office & Workplace Management: Ensure the office and reception area are welcoming and functional; support the Workplace Experience Manager with office-related matters
- Facilities & Vendor Coordination: Oversee essential services like maintenance, cleaning, catering, and recycling while liaising with landlords and service providers
- Supplies & Invoice Handling: Manage office supplies, refreshments, invoices, and payments, ensuring timely processing with accounting
- Security & Compliance: Administer the office keycard system, oversee health, safety, and security procedures, and handle confidential documents responsibly
- Employee Support & Engagement: Assist with onboarding/offboarding, help organize team events, and foster office traditions to enhance company culture
- Administrative Support: Coordinate mail and packages, collaborate with HQ teams (Finance, Legal, IT), and track the office budget in line with company policies.
- You have a positive, can-do attitude and a hands-on approach to getting things done.
- You have a problem-solving mindset with great attention to detail.
- You have experience in office administration or a similar role but above all, you bring drive, intelligence, and integrity.
- You have excellent spoken and written English skills (bonus points if you speak other languages too).
- You have strong and effective communication skills, used confidently across all levels of an organization.
- You have the ability to juggle multiple tasks and priorities in a fast-paced environment, while fostering a supportive, inclusive, and positive workplace culture.
