About The Role
The Workplace Experience Specialist is responsible for supporting daily office operations and a cost-effective Workplace Experience function while ensuring the local team has a supportive and effective work environment.
Main Tasks & Responsibilities:
- Office & Workplace Management: Ensure the office and reception area are welcoming and functional; support the Workplace Experience Manager with office-related matters
- Facilities & Vendor Coordination: Oversee essential services like maintenance, cleaning, catering, and recycling while liaising with landlords and service providers
- Supplies & Invoice Handling: Manage office supplies, refreshments, invoices, and payments, ensuring timely processing with accounting
- Security & Compliance: Administer the office keycard system, oversee health, safety, and security procedures, and handle confidential documents responsibly
- Employee Support & Engagement: Assist with onboarding/offboarding, help organize team events, and foster office traditions to enhance company culture
- Administrative Support: Coordinate mail and packages, collaborate with HQ teams (Finance, Legal, IT), and track the office budget in line with company policies.
- You have a positive can-do and hands-on attitude, with a passion for supporting others
- You are skilled in attention to detail, multitasking, prioritisation, and focus
- You have excellent spoken and written skills in Romanian (native or B2+) and English
- You handle confidential information carefully and communicate effectively with international teams
- You are capable of effective communication, conveying messages clearly and accurately across all organisational levels
- You are familiar with Google Suite, Slack, MacBooks and videoconferencing tools
