This position is part of the Advanced Concepts and Enterprise Engineering (ACE) business unit. ACE develops next-generation concepts and systems to advance our future of living and working in space sustainably.

As a Sr. Administrative Specialist within the ACE Space Resources Program, you will play a pivotal role in ensuring our office and team's efficient and effective operation. This role calls for a proactive, service-oriented individual who thrives in a fast-paced environment and can contribute to our mission with leadership skills and a commitment to operational excellence.

This role is located in North Hollywood, CA.
Responsibilities include but are not limited to:
- Administrative Team Support - Provide administrative support to leadership to ensure the smooth operation of hiring, interviewing, onboarding, and managing the team. Responsibilities include managing team calendars and mailing lists, all hands meeting preparation, interview/onsite reimbursement support, new hire onboarding support to office manager and hiring manager, and draft communications on behalf of leadership and maintaining confidentiality and discretion.
- Event and Meeting Coordination for Small Team Activities - Organize small team activities, meetings, and events, including scheduling and preparing meeting spaces, catering, and setup. Site-wide events are organized by the office manager. Collect names of visitors, update in visitor calendar, submit visitor request in Envoy, and instruct SRP host to place a ticket to Trade Compliance.
- Stakeholder Collaboration - Actively collaborate with internal stakeholders and peer groups to communicate effectively and build strong interpersonal relationships, fostering a culture of inclusion.
- Fostering a culture of inclusion
- Administrative Leadership Support - Work closely and effectively with senior management to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Exercise good judgment while maintaining a realistic balance among multiple priorities. Anticipating conflicts and resolving with little or infrequent direction.
- Calendar - Manage extremely active calendars of appointments. Plan, coordinate, and ensure the schedule is followed and respected. Provide gatekeeper and gateway role, creating win-win situations for direct access to senior leadership.
- Travel - Arrange complex and detailed domestic and international travel plans, itineraries, and agendas; compile documents for travel-related meetings. Complete expense reports timely, following and enforcing policy while meeting leader expectation [quality/price].
- Communications - Compose and prepare draft documents and correspondence that are sometimes confidential. May respond to email or other inquiries on behalf of senior leadership and must adapt voice/formality as such.
- Tasks - Complete tasks and critical aspects of deliverables.
- Projects - Work independently on projects, from conception to completion, under pressure at times, handling a wide variety of activities and confidentiality with discretion. These could include supporting recruiting priorities and other ad hoc projects as required.
- Organization – Using strong organizational skills, perform and prioritize multiple tasks seamlessly with excellent attention to detail. Prioritize conflicting needs. Handle matters expeditiously and proactively, following through on requirements to successful completion, often with deadline pressures. Adapt to competing demands in a fast-moving environment.
- Personnel – Using strong interpersonal skills, build relationships with stakeholders.
- Problem Solving - Demonstrate proactive approaches to problem-solving with strong decision-making capability. Demonstrate high attention to detail and flawless execution.
- Travel expected. Variable work hours/extended availability expected according to leader location.
Minimum Qualifications:
- 5+ years of proven experience in administrative, reception, concierge, customer service, or other hospitality environments.
- Exceptional attention to detail, organizational skills, and multitasking ability in a dynamic setting.
- Excellent interpersonal skills, focusing on relationship building, trust, and inclusion.
- High integrity, confidentiality, and professionalism alongside intermediate Microsoft Office Suite skills.
- Flexibility with work schedules, accommodating a range from 6:00 am to 5:00 pm.
- Must be a U.S. citizen or national, U.S. permanent resident (current Green Card holder), or lawfully admitted into the U.S. as a refugee or granted asylum.
- Ability to earn trust, maintain positive and professional relationships, and contribute to a culture of inclusion
Preferred Qualifications:
- 7+ years of proven experience in administrative, reception, concierge, customer service, or other hospitality environments.
Compensation Range for:
CA applicants is $39.28-$54.99Other site ranges may differ
