Astroscale Holdings Inc. is seeking a dedicated, self-driven Executive Assistant to support the Executive Management team. This role requires effective communication skills in English and Japanese, outstanding planning, time management, and a passion for our mission and organization. Impeccable attention to detail, being proactive, having sound judgement, and the ability to meet tight deadlines while juggling multiple requests is critical.
A high level of integrity and discretion in handling confidential information and professionalism dealing with Executive Managers inside and outside the company is imperative. The successful candidate will understand business priorities, proactively anticipate needs, work effectively with all staff members, and drive improvements that build capacity for the Executive Management team. Completing complex tasks quickly with little to no guidance, reacting with appropriate urgency to situations that require quick turnaround, and taking effective action without having to know the whole picture is key to success.
Roles & Responsibilities:
- Work directly with multiple Executive Managers and support them in all administrative duties to allow them to focus on their primary responsibilities.
- Manage multiple calendars and scheduling meetings and events, including meeting logistics and preparation activities.
- Arrange international travel itineraries with seamless logistics.
- Manage expense reports and submission.
- Track, manage, and help drive completion of key actions or deliverables and follow up on outstanding items.
- Communicate any urgent appointments, cancellations, or last-minute change of plans.
- Serve as a liaison between the Executive Managers and other global leadership managers to arranging meetings and distribution of information.
- Interact seamlessly and with a professional demeanor with a broad range of individuals including Board of Directors, global leadership managers, outside executives, government officials, international customers, and existing staff members
- Assist non-Japanese Executive Managers with personal matters associated with living in Japan.
- Organize, execute, and assist with team activities (staff meeting agendas, all-hands, off-sites, and other team events including workplace services)
- Partner and work closely with other Executive Assistants to provide holistic support to the organization and office management.
Requirements and qualifications:
- Minimum 5 years of Executive Assistant experience supporting senior management executives
- Experience working in an international environment with non-Japanese Executives or senior managers
- Strong interpersonal skills to effectively communicate and work with diverse team
- Outstanding organizational and time management skills.
- Ability to proactively assess and resolve issues with innovative, collaborative solutions.
- Ability to work independently, but also thrive in a collaborative environment.
- Ability to multi-task and simultaneously work on multiple issues in parallel
- Ability to thrive under pressure, learn and adapt to fast paced environment.
- High level of discretion and confidentiality when dealing with sensitive issues.
- Strong capabilities in MS Office software including Word, PowerPoint and Excel.
- Native Japanese language capability with spoken and written fluency in English (TOEIC: 800)
- Willingness to work flexible hours based on Executive Manager schedules.
