We are looking for a highly organized and detail-oriented Administrative Coordinator to support our People Operations team. This role will report directly to the People Operations Manager and play a critical role in maintaining accurate employee data, supporting people operations systems administration, and ensuring a smooth employee experience throughout the onboarding and offboarding lifecycle.

What you'll do:
- Provide day-to-day administrative support to the People Operations team, including scheduling, documentation, and process coordination
- Coordinate onboarding and offboarding activities, including employee communications, system updates, equipment coordination, and tracking completion of required tasks
- Maintain accurate employee records across HR systems, ensuring timely updates and data integrity
- Support employee lifecycle changes including job changes, compensation updates, transfers, leave tracking, and organizational updates
- Assist with benefits administration support and employee communications related to People Operations programs
- Assign, track, and maintain employee training records through internal learning platforms and systems
- Monitor completion of required onboarding, compliance, and recurring trainings and follow up with employees and managers as needed
- Support coordination of Lunch & Learn sessions, internal trainings, and employee development programs
- Maintain and update employee information in BambooHR, Insperity, and other internal systems with a high degree of accuracy
- Audit HR data regularly to identify discrepancies, missing information, or outdated records
- Support HRIS integrations, workflows, and process improvements to ensure systems remain accurate and efficient
- Partner with internal teams to ensure employee data consistency across systems and platforms
- Assist with generating reports, tracking metrics, and maintaining operational dashboards as needed
- Maintain and update Confluence pages and internal People Operations resources, including onboarding guides, benefits information, Lunch & Learn materials, policies, training resources, and process documentation
- Ensure internal documentation remains current, organized, and easily accessible to employees
- Support company-wide communication efforts related to People Operations initiatives and programs
- Coordinate meetings, scheduling, and logistics for the People Operations team
- Draft, proofread, and format internal communications and presentations
- Assist with People Operations events, trainings, employee engagement activities, and company initiatives
- Provide occasional front desk or workplace support as needed
What you'll bring:
- 2–4 years of administrative, HR coordinator, or People Operations experience
- Previous experience working with HRIS platforms such as BambooHR, Insperity, Workday, ADP, or similar systems
- Experience assigning and tracking employee training through HRIS or learning management systems preferred
- Strong attention to detail and commitment to data accuracy
- Experience managing employee records, databases, or systems administration
- Comfortable working across multiple systems, tools, and priorities simultaneously
- Strong organizational and follow-through skills with the ability to manage deadlines independently
- Excellent written and verbal communication skills
- High level of discretion and professionalism when handling confidential employee information
- Proficiency in Microsoft 365
- Experience with Confluence, Jira, or similar knowledge management/project tools preferred
- Self-starter who takes initiative and proactively identifies process gaps or areas for improvement
- Must be readily available to be in office for employee support and new hire onboarding
