As we continue to scale our team of world-class engineers, technicians, and innovators, we are looking for a Talent Operations Specialist to help build and optimize the systems, processes, and analytics that power our hiring engine.

The Talent Operations Specialist plays a critical role in enabling a high-performing talent acquisition function. This role focuses on improving recruiting processes, managing recruiting systems, coordinating interview logistics, tracking hiring metrics, and ensuring a seamless experience for candidates and hiring managers.

This person will partner closely with recruiters, hiring managers, people and culture, IT, and finance to ensure hiring processes run smoothly, efficiently, and at scale.

What You'll Do:

Recruiting Process & Coordination
  • Coordinate candidate interview scheduling across multiple teams and time zones
  • Maintain recruiting workflows to help recruiters and managers ensure timely movement of candidates through hiring stages
  • Partner with the Lead Recruiter to ensure structured interview processes and timely feedback from interviewers
Talent Systems & Tools
  • Mature, optimize, and maintain the Applicant Tracking System (Pinpoint ATS) and other recruiting tools (LinkedIn Recruiter, dashboards, trackers, etc.)
  • Ensure accuracy and integrity of all recruiting data
  • Support implementation of new recruiting tools, automation, and process improvements
  • Build, optimize, and maintain documentation for recruiting workflows and systems
Recruiting Analytics & Reporting
  • Track and report key recruiting metrics such as:
    • time to hire
    • pipeline conversion rates
    • candidate throughput
    • source effectiveness
  • Build dashboards and reports that support hiring strategy and workforce planning
  • Work with the Recruiting Lead to guide company leadership in recruiting efficiency and effectiveness
  • Identify bottlenecks in the hiring process and recommend improvements
Candidate & New Hire Experience
  • Ensure a high-quality and consistent candidate experience throughout the recruiting process
  • Support interview logistics, including onsite coordination and candidate travel when needed
  • Ensure candidates receive timely communication and updates
  • Serve as the POC and bridge from an offer signature to a new hire’s first day
  • Processing pre-hire paperwork (criminal history, employment documents, etc.)
  • Import into HRIS
  • Coordinating start dates with new hires, managers, and the people team
Process Improvement & Scalability
  • Continuously evaluate recruiting workflows and identify opportunities for efficiency
  • Develop scalable recruiting processes that support company growth
  • Partner with the people and culture to align recruiting processes with broader people programs (onboarding, training and development, etc.)

What’s Prepared You:

  • Bachelor’s degree or 5 years of equivalent professional experience
  • 1+ years of experience in recruiting coordination, People Operations, HR operations, or administrative support in a fast-paced environment
  • Strong organizational skills with the ability to manage multiple priorities
  • Clear and professional written and verbal communication skills
  • Comfort working with calendars, scheduling tools, and basic reporting
  • Detail-oriented, adaptable, and proactive in a changing environment
Preferred
  • Experience supporting high-volume interview scheduling
  • Familiarity with applicant tracking systems and people operations tools
  • Experience working in a startup or high-growth environment
  • Strong judgment when balancing speed, accuracy, and candidate experience
