Job Description

Summary

The Operations Support Specialist I is responsible for a wide variety of tasks and functions required to support the Field Operations organization, Flight Service Representative organization as well as other cross functional areas of the business. This position works closely with the MUAS department heads in the day-to-day operations.

Position Responsibilities:

  • Processes Letters of Authorization, Country Clearance Request, and APACS/Call Forwards for travel to USG Areas of Responsibilities.
  • Maintains and creates export licenses as required for such travel.
  • Schedule and tracks all requirements for international travel supporting Field Operations, Field Demos and Field Services personnel.
  • Schedule and tracks all equipment within the Field Operations organization to report statuses, locations, and issues with schedule.
  • Assists with resolving schedule conflicts and assessing earned value.
  • Interacts with government agencies to coordinate mobilization of personnel under military contracts.
  • Responsible for the development and processing of Deployment Letters, passport renewals and visas for all international deployments involving Field Operations, Demos, and Services
  • Develops and manages deployment and pre-deployment activities schedules for all training and Support Services opportunities.
  • Identifies critical paths on project schedules and provide weekly updates of project schedules.
  • Administers record keeping program for Field Operations.
  • Assists Global Logistics Coordinator with tracking and shipment of equipment being exported or imported by company approved international freight forwarders.
  • Conducts general, daily administrative support tasks under moderate supervision; applies company policies and procedures to resolve a variety of issues.
  • Assists with visitor requests, customer visit preparation, meeting scheduling and other general administrative duties as assigned.
  • Other duties as assigned.

Basic Qualifications (Required Skills & Experience):

  • Bachelor's degree in Business Administration or related discipline is required or equivalent combination of education, training, and experience
  • 5+ administrative support experience for multiple levels of leadership
  • Strong proficiency with Microsoft Office applications (e.g., Excel, PowerPoint, Word, Outlook) required
  • Experienced with MS Project, MS Office and other planning/scheduling computer tools
  • Demonstrated experience arranging domestic and international travel for employees
  • In-depth knowledge of company guidelines, policies and export licensing is required

Other Qualifications & Desired Competencies:

  • Previous experience in a technology and/or international business environment, preferred

Physical Demands:

  • Movement of product at 50 lbs or less (Occasional)
  • Movement of product in teamwork fashion (assisted by other personnel and/or equipment) at 200 lbs or less (Occasional)
  • Ability to work in an office environment (Constant)
  • Required to sit and stand for long periods; talk, hear, and use hands and fingers to operate a computer and telephone keyboard (Frequent)

Special Requirements:

  • U.S. Citizen, U.S. Permanent Resident (Green Card holder) or asylee/refugee status as defined by 8 U.S.C. 1324b(a)(3) required.

The salary range for this role is:

$30 - $43
