Job Purpose:
Join our team as an Executive Assistant, where you’ll be the backbone of day-to-day operations, supporting our CEO and PMO Lead. Your knack for organization and attention to detail will be crucial in keeping our executive branch running like clockwork, allowing our leaders to concentrate on propelling our business to new heights.
In this role, you’ll need to be quick on your feet, have a talent for solving problems, and stay cool and collected in a fast-paced environment.
Responsibilities:
- Expertly manage the executives' calendars, scheduling and coordinating meetings, appointments, and events to maximise their productivity and efficiency.
- Serve as a liaison between executives and internal/external stakeholders, professionally handling incoming calls, emails, and correspondence with professionalism and utmost discretion.
- Take charge of arranging domestic and international travel accommodations, including flights, hotels, and transportation, meticulously considering preferences and itineraries.
- Prepare comprehensive meeting agendas, materials, and presentations. Diligently take minutes and follow up on action items as required.
- Provide exceptional administrative support, including drafting correspondence, preparing reports, managing expenses, and maintaining accurate records.
- Assist with special projects as assigned, which may involve in-depth research, data analysis, and coordination with other team members.
- Maintain strict confidentiality and handle sensitive information with discretion and professionalism.
Qualifications:
- Proven experience as an executive assistant or similar role, preferably in a high pressure, fast-paced environment.
- Exceptional organisational and time management skills, with the ability to prioritise tasks and meet deadlines.
- Strong interpersonal skills and the ability to communicate effectively with individuals at all levels.
- Mastery of the Microsoft Office Suite and its multifaceted applications. From crafting intricate spreadsheets in Excel to polished presentations in PowerPoint.
- High level of discretion and integrity, with the ability to handle confidential information appropriately.
- Flexibility and adaptability to changing priorities and work demands.
